AP Specialist
(Location: Morgan Hill, CA)
Annual Salary Range: ,160 - ,400 DOE
Responsible for high volume and full cycle accounts-payable functions including routing invoices for approvals, coding invoices, entering, and processing payments. Work with purchasing and verification of vendor’s credit limit and payment terms to minimize credit hold and payment discount. Reconcile vendor accounts, accrue sales & use tax, investigate, and resolve discrepancies or other payment issues with vendors. Process, and distribute payment checks to vendors/employees. Review, research, and reconcile vendor statements. Perform month-end activities such as AP accruals, account reconciliation, Journal entries, and other close activities. Solid understanding of AP finances; ensures accuracy and timeliness; manages/monitors aged payables.
Essential Functions
- Process a high volume of vendor invoices and monitor discount opportunities
- Process data imaging and data indexing of vendor documents
- Process weekly check runs and online payments
- Purchase order 3-way matching of invoices
- Provide good customer service to internal employees and external suppliers
- Ensure internal policies and procedures are enforced and acquire proper approvals
- Manage vendor accounts via A/P aging vendor statements and other tools
- Collaborate with various internal functional groups within the company, such as purchasing, warehouse, shipping, I/T, and production, to complete tasks in a timely manner
- Monitor credit limits, payment terms, and vendor files
- Work on special projects as required
Skills
- 1-3 years of accounts payable experience preferred
- Proficiency in Excel and other Microsoft Office products
- Ability to process a high volume of data entry
- Ability to research, compile, analyze, and interpret data
- Good written, verbal communication, and collaborative skills
- Strong organizational and prioritizing skills
- Attention to detail and accuracy
- Manufacturing industry background preferred
- Ability to maintain confidentiality
- Teamwork, job ownership, and a can-do attitude are a must
